Trade-show podcast on your own exhibition stand: space, slot, cost

What you order in the organiser portal, how much stand space the booth takes, what two show days cost and who delivers what. Sorted by what comes first.

The booth stands on the floor space you booked and, with the door swing, takes roughly 3 m² for the 2×1 up to 8 m² for the 3×2. It runs on 230 V stand power, with no three-phase supply and no water. Stand number, power and the access window for build-up are ordered by you in the organiser's service portal, where we cannot log in on your behalf. Two show days in Düsseldorf with no extras cost €5,050 excl. VAT, delivery and setup included.

Fixed prices for events across Germany. Events outside Germany on request, with an individual quote for transport and setup. Based in Eltville am Rhein.

What you order in the organiser's service portal

Almost every large trade show runs a service portal. In Stuttgart it is called VisiFair, in Düsseldorf or Frankfurt it has a different name and does the same job. These four points belong in there:

  • Power on your floor space. The standard 230 V stand power is enough. Three-phase power, a water connection or a separate contract with the organiser are not needed for the booth.
  • An access window for build-up day. Without a booked slot the truck does not get onto the site, however well the tour is planned.
  • Hall and stand number, as soon as they are confirmed. We need both for the delivery.
  • Internet only if you want to publish on site. The recording itself runs without show Wi-Fi.

Our transport is not booked in the portal, we organise that. Late orders in the portal usually cost more; those surcharges come from the organiser, not from us. As soon as hall, stand number and build-up slot are confirmed, send them to us with the enquiry from the calculator.

How much stand space does it take?

Layout Dimensions (mm) Footprint Realistic with door On a 12 m² exhibition stand
2×1 2080 × 1080 ≈ 2.2 m² ≈ 3 m² fits, as long as the exhibition stand is not packed
2×2 2080 × 2080 ≈ 4.3 m² 5 to 6 m² depends on the rest of the exhibition stand
3×2 3080 × 2080 ≈ 6.4 m² 7 to 8 m² gets tight

Reception, counter and storage sit on top of these figures. All dimensions and floor plans are under Models.

The booth is 2.25 m high and we need about 2.40 m clear for assembly. Your stand builder checks that against the hall plan, because pillars and neighbouring walls are there and not in our data sheet.

The clear door opening is 715 mm, the hinge side opens outwards and can be reversed. If a neighbouring wall or a display case sits in the swing area, we flip it. Settle that before build-up day, not on the floor.

What does a booking cost?

The first show day is €1,250 in the calculator, and the day rate falls with duration. The line “from €950/day” is the avg. for longer bookings, not a separate tier in the volume table. Delivery and setup by our crew start at €2,300:

Zone Distance from Eltville Examples Delivery & setup
A up to 150 km Frankfurt, Cologne €2,300
B 150 to 400 km Düsseldorf, Hanover €2,550
C over 400 km Berlin, Munich, Hamburg €2,800

Bookings outside Germany are quoted on request.

Here is the calculation you can forward internally: two show days in Düsseldorf, no extras.

Item Amount
Show day 1€1,250
Show day 2€1,250
Delivery & setup, zone B€2,550
Total€5,050 excl. VAT

The day rate covers the booth, assembly and a ready-to-record setup. Audio, video, an on-site technician and a host are add-ons you pick in the calculator. The wrap costs €350 per face excl. VAT including artwork and application, with a maximum of five faces on the 2×1, seven on the 2×2 and nine on the 3×2. All three layouts cost the same to hire, which is why exhibitors with enough space usually take the 3×2.

How much lead time do you need?

Task When
Power and vehicle access in the portal As early as possible. The organiser's deadlines usually fall before ours, and the portal is often closed while we would still have room.
Wrap in your CI With buffer for one correction round. Logo, exclusion zones and the split across the panes rarely land on the first attempt. Two weeks before build-up gets tight.
Booking without a wrap Possible much later. The date then depends on the calendar and the tour.
Hall, stand number, slot to us As soon as they are confirmed, with the enquiry from the calculator.

Order power and vehicle access even if the exhibition stand concept is not finished. The booth does not change either of them.

Checklist for your enquiry

  • Hall, stand number and build-up slot, or a note that they are still open
  • Hall plan or stand layout with pillars and neighbouring walls
  • Layout: 2×1, 2×2 or 3×2
  • Number of show days
  • Wrap yes or no, and if yes the print files from your CI
  • Add-ons: audio, video, on-site technician, host

We have been at ProWein in Düsseldorf and at Frankfurter Buchmesse, there with On the Books among others. Send the hall plan with the enquiry from the calculator and we can see pillars, aisle widths and neighbouring walls before the truck sets off. If you are not yet sure whether a booth, a van or a crew without a room fits, the comparison is in the format comparison.

What exhibitors ask us first

You or your stand builder, in the organiser’s service portal. We are not listed there and cannot clear vehicle access. We need hall, stand number and the access window, ideally with the enquiry from the calculator.

For the 2×1 yes, if the exhibition stand is not packed. With door swing plan about 3 m² for 2×1, 5 to 6 m² for 2×2 and 7 to 8 m² for 3×2. Reception and storage sit on top, so 3×2 gets tight on 12 m².

No. 230 V stand power on your floor is enough, ordered in the organiser portal. No three-phase, water or separate contract. Recording runs without show Wi-Fi; you only need internet if you publish on site.

In Düsseldorf with no extras: €5,050 excl. VAT. That is 2 × €1,250 hire plus €2,550 delivery and setup for zone B. Zone A within 150 km of Eltville is €2,300, zone C from 400 km is €2,800. All prices excl. VAT. Run your configuration in the calculator.

The day rate covers the podcast booth, assembly and a ready-to-record setup. Audio kit, video, on-site technician and host are add-ons in the calculator. Delivery and setup by our crew follow the zone.

Best with the calculator enquiry and with the rest of the stand graphics. Two weeks before build-up is tight, because logo and exclusion zones almost always need a correction round. Wrap is €350 per face excl. VAT including artwork and application, maximum five faces on 2×1, seven on 2×2, nine on 3×2. Without wrap we can start much later.

Yes, if someone watches the door and manages the queue. Leave the booth open and the isolation is gone: the recording sounds like the hall. Book a technician or host in the calculator.
